STEP 1: Check availability

Once you have contacted us we will identify suitable dates and provide a quote.
STEP 2: Confirmation & Deposits
Once a date has been agreed and you are happy go ahead, we will provisionally hold the booking and send you a confirmation letter. At this point, we require a completed School Booking Acceptance form, plus a non-refundable holding deposit of £425 to secure the booking. Until we receive this payment the offer remains provisional and we may offer these dates to other groups. On receipt of your holding deposit, your booking is confirmed.
STEP 3: 3-6 months prior to your trip - You will receive a request for payment of individual students deposits of £50 per student. Deposits are non-refundable and will be deducted from your final balance invoice. Please note if student numbers fall below our minimum group size of 10 students, we still require a minimum of 10 deposits (which are non-refundable). For more information, please refer to our Booking Conditions. Transport to fieldwork sites is not included, but can be arranged by the centre. STEP 4: Provide residential course information for visiting students/staff
Please complete our residential course forms (Educational Group Agreement & Registration Form) and return to the centre via email or post, 6-8 weeks prior to your visit. In addition, a house list will be emailed to you asking you to populate the form with names of students & staff. The centre will also contact you to confirm final numbers. Please note if there is a reduction in student & staff numbers at this point, you must notify us immediately as we cannot adjust numbers once the final invoice has been raised.
STEP 5: Paying the final balance invoice
An invoice for the final balance of the course fee (minus any deposits paid) will be issued 6 weeks prior to course commencement whereupon payment is required in full.
Prior to your visit, a member of the centre’s education team will contact you to confirm the course content and to discuss any further requirements.
